Job Description

Our company is seeking an organized and detail-oriented Accounting Assistant Billing Specialist to join our team. In this role, you will provide billing and administrative support to the Billing Specialist and Accounting department, ensuring the accurate and timely processing of daily transactions. Responsibilities

  • Collect field paperwork, audit, and attach missing components for billing/invoicing/safety department
  • Daily receiving tickets, accounts receivable/invoicing multiple clients as required
  • Ensure the accurate and timely processing of daily transactions
  • Create excel service confirmation spreadsheets for customer invoicing & tracking purposes
  • Update receiving ticket account sheet(s) such as MS excel, Access for daily, weekly & monthly purposes
  • Successfully use, monitor, and review any 3rd party applications per client request/requirements
  • Pull internal reports for billable jobs for auditing purposes and job costing on a weekly basis
  • Review and manage month-end close process including purchase tickets for scrap revenue, spreadsheets for oil and industrial department revenue, creating and issuing broker tickets, summarizing deductions and upgrades for inventory adjustments, and filing
  • Occasional special projects as requested
  • Prepare/process invoices, and other documents
  • Compile routine report purposes by hand or using internal resources and records
  • Ability to complete multiple assigned tasks under stressful situations
  • Update employee lists for billing in Access
  • Assist accounting staff with assigned tasks
  • Firm-wide administrative support, including reception support, filing
  • All other duties as assigned by management

Qualifications

  • At least 1 year in a Business Office position
  • Proficient in Microsoft Office products, including Outlook, Excel, Access, and Word
  • Able to use internet with search engines
  • Good knowledge of bookkeeping procedures, accounting, finance or related field
  • Hands-on experience with accounting software
  • Advanced knowledge of Excel (using formulas and creating spreadsheets)
  • Solid data entry skills with an ability to identify numerical errors
  • Strong research skills
  • Organized and detail-oriented
  • Ability to accurately and efficiently analyze data
